The Administrative Assistant is responsible for providing effective administrative and operational support to ensure continuity of care for service users. The role involves rota management, staff coordination, communication with stakeholders, record keeping, and supporting management to ensure services run efficiently, safely, and in line with organizational procedures.
Responsibilities:
Manage staff rotas, absences, and adjustments, ensuring all shifts are fully covered.
Prepare and maintain rota adjustment reports.
Coordinate and manage the on-call rota quarterly.
Monitor staffing levels and escalate concerns to the Registered Manager.
Liaise with support staff and management to ensure they are adequately supported in their role.
Maintain effective communication with staff and stakeholders and ensure dissemination of information to all staff.
Deliver high standards of customer service.
Monitor concerns such as absences, complaints, and compliments.
Flag concerns to appropriate teams.
Arrange staff meetings and training.
Take minutes and attendance at management meetings.
Maintain electronic records and carry out general data input.
Coordinate external trainings (referral, completion, and upload certificates on Atlas.
Maintain personal development.
Undertake any other reasonable duties as required.
